Job Description:


The PD&I Administrative Assistant assists the PD&I Team by providing administrative support, coordinating building activities and ensures PD&I employees have tools and supplies needed to preform their job. The PD&I Assistant performs standard secretarial duties, screens telephone calls and visitors, and resolves routine inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Assists PD&I by screening all general calls and visitors

* Maintains PD&I Supplies for labs and breakrooms via VMI program

* Assists with Team CARE events, including coordination and sample preparation

* Manages cleanliness of PD&I facility and assists in all PD&I building needs,

* Assist in scheduling of contractors and other services for PD&I, including invoicing

* Assists in scheduling, coordinating and hosting PD&I visitor tours, luncheons, etc.

* Assist with PD&I Shipping & Receiving needs, including ground and freight shipments

* Assists with Brady Printer troubleshooting and serves as a liaison for Brady Customer Support

* Creates and receives Purchase Orders for PD&I via SAP

* Serves as Safety Warden for PD&I, including scheduling of safety meetings and PD&I safety audits

* Acts as a liaison for PD&I programs such as SciFinder, Minitab, Patsnap, etc., including maintaining user listings

* Assists in filing all legal contracts and intellectual property for Shurtape

* Acts as a liaison for PD&I for general IT needs within PD&I

* Serves as backup and/or fill in for PD&I Labs, as needed

* Proficiency in secretarial skills and operating office equipment

* Working knowledge conferencing software (Video, GlobalMeet, etc.)

* Highly organized and detail orientated

* Ability to handle confidential information and business documents in professional manner

* Ability to work independently and ensure that tasks are completed

* Self-motivation and enthusiasm

* Good verbal and written communication skills

* Ability to work in team environment

* Efficient problem solver


* Education/Certification Requirements

o High School Diploma

· Experience

o 5 years' experience in Customer Service and/or Administrative work


The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

* Sitting for extended periods of time

* Typing

* Talking on the telephone

* No heavy lifting


This is a fast-paced work environment with consistent pressure to complete duties as outlined above which requires ability to manage multiple projects at a detailed level and provide support to many internal departments in a fast-changing environment. Many duties listed above are time-sensitive and have strict deadlines for completion.
